How to use SandipCare

Sandip University's grievance portal for students and staff. Raise an issue, follow it until it is resolved, and talk to the right department, all in one place.

Signing in

Use your PRN (students) or Employee ID (staff). There are three ways in.

Mobile OTP Recommended

  1. On the sign-in page choose Mobile OTP.
  2. Enter your PRN / Employee ID and tap Send OTP.
  3. Type the 6-digit code from the SMS.

Password

Choose the Password tab and enter your ID and password. Forgot it? Sign in with OTP and set a new one in Profile.

From SUN ERP

Already signed in to SUN ERP? Click Sandip Care Portal on your ERP dashboard; you are signed in automatically.

The OTP goes to the mobile number registered in SUN ERP (and your e-mail, if one is on file). It is valid for 5 minutes; you can request a new one after 60 seconds. The SMS reads "One time Password for Login in SUN-ERP is…", which is expected.
First time here? If you are an active student in SUN ERP, your SandipCare account is created automatically the first time you sign in with OTP.
After 5 wrong passwords the account is locked for 15 minutes. Mobile OTP still works while it is locked.

Raise a grievance

Takes about two minutes. You get a ticket number right away.

  1. Tap Raise Grievance (top menu, or the bottom bar on a phone).
  2. Choose the Department, e.g. Exam Department (COE), Account Section, Hostel, Transport, Library.
  3. Pick the Issue that best matches. The list changes with the department.
  4. Describe the problem: what happened, when, and what you need. Add receipt numbers, subject codes or dates.
  5. Optionally attach a photo or screenshot (JPG or PNG, up to 2 MB), then tap Submit grievance.
One problem per ticket. Two unrelated issues (e.g. fees and hostel) should be two tickets, so each reaches the right team.

Track your tickets

My Tickets lists everything you have raised. Tap a tile to filter, or search by ticket number, issue or department.

Open
The department is working on it.
Overdue
Not resolved within the response window; it has been escalated.
Closed
Resolved by the department.

What happens after you submit

You raise it→Assigned to the right staff→Reply within 48 working hours→Escalates if no reply→Closed

Open a ticket to see its full timeline: who it was assigned to, every escalation, and all replies.

Replies & feedback

  1. When staff reply you get an e-mail and WhatsApp message. Open the ticket to read it.
  2. Need to add something? Use Add a reply at the bottom of the ticket (available until it is closed).
  3. Under each staff reply, tap Was this reply helpful? Leave feedback to tell the department how it went. You can leave feedback once per reply.
A closed ticket cannot be reopened. If the problem is not solved, raise a new grievance and mention the old ticket number (e.g. TCKT1234) in the description.

Confidential complaints (harassment, abuse, ragging)

These complaints are handled privately by the Internal Complaints Committee.

  1. On My Tickets, tap Report confidentially (the red card), or choose Abuse & Harassment as the department.
  2. Pick the type, describe what happened and attach evidence if you have any.
  3. Submit. The committee is alerted immediately and responds within 24 hours.
Who can see it: only committee members. It does not go to your department, teachers or other staff, cannot be forwarded, and any photo you attach is stored privately. Your ticket shows a Confidential badge.

Profile & password

Your name, mobile and e-mail come from SUN ERP and cannot be edited here. If they are wrong, update them in SUN ERP or at the Student Section; SandipCare picks up the change at your next OTP sign-in.

Change or set your password

  1. Open Profile.
  2. Enter your current password, then the new one twice: at least 8 characters, with letters and numbers.
  3. Tap Update password.
Don't know your current password? Sign in with Mobile OTP. For 15 minutes after an OTP sign-in you can set a new password without the old one.

Use on your phone

SandipCare works in any phone browser; no app is needed. Add it to your home screen for one-tap access:

  • Android (Chrome): open the site → tap ⋮ → Add to Home screen.
  • iPhone (Safari): open the site → tap Share → Add to Home Screen.

On a phone, use the bottom bar or the ☰ menu to move between My Tickets, Raise Grievance and Profile.
